DUTIES:
The successful candidate will work with Montana Tech's Department of Business. This person will provide support to the Department Head, Department faculty , and students. This position is responsible for handling the day-to-day operations of the Department including (but not limited to):
- Answering phone calls
- Writing and distributing emails
- Greeting and directing visitors and students
- Assisting with the scheduling of meetings, travel, and special events
- Completing forms for faculty members
- Submitting work orders
- Scheduling rooms
- Overseeing the computer labs in the ELC
- Maintaining inventory of office supplies
- Monitoring and reconciling Department budgets
- Assembling and editing the Department Newsletter
- Maintaining relevant documentation for Department specific accreditation requirements
REQUIRED QUALIFICATIONS:
- High school diploma
- One year of office administration experience
- Proficiency in Microsoft Office
- Excellent written and oral communication skills
PREFERRED QUALIFICATIONS:
- Associate's or Bachelor's degree
- Experience using Montana Tech software (Data Warehouse, Canvas, Navigate, 25Live, etc)
PHYSICAL DEMANDS:
Prolonged Sitting: Most of the workday is spent at a desk or workstation
.Occasional Standing and Walking: Moving between offices, attending meetings, or navigating a campus or building to access files and equipment.
Bending and Stooping:
Occasionally required to reach lower filing cabinets, organize supplies, or manage equipment cables.
Fine Motor Skills: Frequent use of hands and fingers for typing, operating a mouse, handling paper documents, and using office machinery (printers, scanners).
Communication: Regularly required to talk and hear, both in person and over the phone, to assist visitors and coordinate with staff.
Vision: Specific vision requirements usually include close vision (reading screens and documents) and the ability to adjust focus.
Light Lifting: Frequently handling items up to 10 pounds (files, mail, laptops).
Occasional Lifting: Periodically moving heavier items up to 25 pounds, such as boxes of printer paper or office supply deliveries.
Environmental Factors
Standard Office Setting: Work is typically performed indoors in a climate-controlled environment with moderate noise levels (e.g., phones, printers, and office chatter).
